How Our Letting, Management & Property Services Work

A member of our lettings team will meet you at your property to assess the property and provide you with a rental valuation. We will then guide you through the next steps in order to get your property ready for letting, answering any questions you may have and offering support and advice. Find out more here.

The property must meet The Repairing Standard contained in the Housing Scotland Act 2006 and comply with current safety regulations. PPL can organise any maintenance work that is required prior to letting and will also arrange for the required safety certificates to be carried out.

We know that every property, landlord and tenant is different and so we tailor our service to meet your needs. The lettings team will manage the following:

  • Marketing Photos – Professional photos of your property to ensure it is looking its best.
  • Comprehensive Marketing – Maximum exposure for your property on all major property sites including PPL’s own website, Zoopla, Citylets, Letting Web and On The Market.
  • Viewings 6 Days a Week – We will organise and carry out viewings with prospective tenants.
  • Reference Checks – Thorough screening and reference checks for all tenants ensuring they are the best tenants for your property.
  • Creating Lease Documents – Our team are experts in letting legislation and can take care of the legal side of the process for you.
  • Photographic Inventory Documents – We will create a full photographic and written inventory of the property to ensure everything is left in top condition when the tenant moves out.
  • Accompanied Check In – Helping tenants check in to your property, making sure they are happy and answer any questions they may have.
  • Lodging the Deposit – We will lodge the deposit with a recognised Tenancy Deposit Scheme.
  • Contacting the Utility Company – Our team will get in touch with utility companies to organise gas and electricity.
  • Organising Council Tax – We will contact the relevant local authority regarding council tax.

Once the property is tenanted, we will manage all aspects of the tenancy. Our full property management service includes but is not limited to:

  • Rent Collection & Processing – Ensuring rent is paid in full and on time each month.
  • Regular Property Inspections & Reports – We keep in close contact with all our landlords, updating them on their property with regular reports.
  • Rent reviews – We will review the rent annually to make sure you are always receiving a fair rent for your property.
  • Managing Maintenance Work – Maintaining your property to a consistently high standard and arranging any repairs.
  • Compliance – Organising the relevant safety checks including management of the HMO licence (if applicable).
  • Check Out Procedure – We will conduct a check out inspection to ensure your property is left in good condition. We will also manage the deposit return process.

PRT (Private Residential Tenancy) Information

On 1st December 2017, the Scottish Government introduced the Private Residential Tenancy (PRT), a new tenancy regime to replace the Short Assured Tenancy (SAT). The most significant changes to private tenancies in Scotland are described below.

Ending a Tenancy - Landlords

A landlord must serve a tenant with a Notice to Leave to end a tenancy. There are 18 grounds for eviction and the tenancy can only be ended if one or more of the 18 grounds for possession can be applied. There are 9 mandatory and 9 discretionary grounds for eviction. The landlord must give the tenant 28 days notice if the tenancy has been in place for 6 months or less and 84 days if the tenancy has been in place for 6 months or more.

No Fixed Term

A lease agreement no longer has an initial fixed period. Unlike a Short Assured Tenancy, which was initially fixed for 6 months, a Private Residential Tenancy is open ended which means there is no fixed end date.

Ending a Tenancy – Tenants

Under the PRT, a tenant is able to give notice to vacate the property at any time after the start date of the lease. The tenant must give the landlord a minimum of 28 days notice.

Rent Increases

Rent can only be increased once every 12 months. The tenant must be given 3 months notice of the increase and served with a Rent Increase Notice. Tenants have the right to have the rent assessed by a rent officer if they feel that the rent increase is unfair.

Rent Pressure Zones

Council areas of Scotland can be declared Rent Pressure Zones (RPZ). If a local council believes rents are rising too much in their area, causing issues for tenants and putting pressure on the council to provide housing, or subsidise the cost of housing, they can ask the Scottish Ministers to have an area designated as a RPZ.
